Applications are invited for post of Chief of Administration- IIM Udaipur

Indian Institute of Management, Udaipur is looking for a CHIEF OF ADMINISTRATION (COA) who will supervise and direct various administrative functions. Brief details of the indicative responsibilities of the COA are appended below this advertisement for information of prospective candidates.

5 Tenure The selected candidate will be offered appointment on a contractual basis for an initial period of three years, and depending on the candidate’s performance, initiative and maturity, the appointment may be extended for a further period of two years or till the age of 60 years whichever is earlier.
6 Educational and other qualifications

    Applicant should have:

  • Post graduate degree with first class in any discipline, preferably with a degree or diploma in management
  • OR

  • Engineering graduate preferably with degree or diploma in management from a reputed University/Institute.
7 Experience

At least 15 years of post-qualification experience in administration of a government department/ Autonomous body/ PSU/ higher education institution/ Commercial organization of national/ international repute, in a responsible position. Retired Defence Personnel may also be considered.

8 Major Duties and Responsibilities
Statutory/ Administration
  • To assist the Director in the day-to-day functioning of the Institute
  • Overall in-charge of administrative functions.
  • To attend to matters such as public relations, visitors to the Institute, arrangements for foreign visitors, etc.
  • To supervise project related work.
  • Custodian of all records, assets and funds of the Institute.
  • To exercise administrative and financial powers delegated by the Board/ Director.
  • To attend to legal matters concerning the Institute and act as First Appellate Authority in RTI related matters.
  • To prepare the annual reports of the Institute.
  • To attend to questions from the Lok Sabha/ Rajya Sabha, and Parliamentary Committees.
  • Appointing authority of administrative staff as per the delegation of authority by the Board/ Director.
  • Financial
  • To ensure that the budget and annual account of the Institute is prepared in a timely manner.
  • Budgetary control of expenditure.
  • To issue financial sanctions for purchase, maintenance, and repair of various items within the approved budget and as per financial approval matrix.
  • To correspond with various Central/ State/ Local Government departments, bodies, ministries, etc.
  • Academic
  • Responsible for making administrative arrangements for conferences.
  • Coordination of Institute Convocation.
  • Others
  • Overall supervision and responsibility for matters related to estate, transport, security, stores & purchase, community welfare, students’ hostels, land, etc.
  • To examine proposals for construction and maintenance of buildings and Institute campus.
  • Implementation of various guidelines and orders received from the Government of India.
  • Any other function as may be decided by the Board/ Director from time to time.
9 Key Skills required:
  • The candidate should have excellent organizing skills, high performance orientation and the ability to make continuous systemic improvements.
  • It is desirable that the applicant should have the knowledge of GeM portal, latest GFR, FR & SR and relevant Central Government rules and procedures.
  • 10 Reporting officer The Selected person will report to Director.
    11 Salary Consolidated salary (including all allowances) equivalent to pay level 14 as per 7th CPC. The pay of retired pensioner and other candidate will be fixed as per GoI guidelines.

    General Instructions for the candidates
    • The candidate must be a citizen of India.
    • Interested candidates may apply through ONLINE MODE ONLY as link given at the institute’s website under JOBS section. Candidates are not required to send the hardcopy of the application; however, it is advised to retain a copy of the filled application form for further references.
    • The link to apply for the advertised positions shall be active from 8th January 2025 to 31st January 2025.
    • Application fee of Rs.500 for UR & OBC is required to be paid using the payment gateway link as provided. SC/ST/Women/Ex-Serviceman/PwD candidates are exempted from the Application fee.
    • The completion of the period of the contract will not confer any right for further extension, regularization, permanency at the Institute.
    • The candidates applying for the above post should ensure that they fulfil all the eligibility conditions for the post. Their admission to any stage of the selection process will be purely provisional subject to confirmation that they satisfy the prescribed eligibility conditions. Mere issue of interview call letter to the candidate will not imply that his/her candidature has been found eligible.
    • The prescribed qualifications are minimum and unless specified, they are required for consideration for the post, even if higher qualification has been acquired and the mere fact that a candidate possesses the same will not entitle him/her for being called for interview.
    • Relevant experience gained after the minimum qualifying degree will only be taken into consideration. Minimum requirements of qualifications and/or experience can be relaxed in respect of exceptionally outstanding candidates.
    • The Institute reserves the right to restrict the number of candidates for interview to a reasonable limit based on qualifications, level and relevance of experience higher than the minimum prescribed in the advertisement and other academic achievements. The Institute also reserves the right of rejecting any or all the applications without assigning any reasons, therefore.
    • Calling a candidate for test/interview merely indicates that it is felt that he/she with others may be suitable for the post and conveys no assurance whatsoever that he/she will be recommended or selected, or his/her conditions specified in the application will be accepted.
    • Candidates will be short-listed for Interview based on the information provided by them in their online applications. They must ensure that such information is true. If at any subsequent stage or at the time of Test/Interview any information given by them or any claim made by them in their online applications is found to be false, their candidature will be liable to be rejected.
    • The Institute shall verify the antecedents or documents submitted by a candidate at any time at the time of appointment or during the tenure of the service. In case, it is detected that the documents submitted by the candidates are fake or the candidate has clandestine antecedents/background and has suppressed the said information, then his services shall be liable to be terminated.
    • In case of any inadvertent mistake in the process of selection which may be detected at any stage even after the issue of appointment letter, the Institute reserves the right to modify/ withdraw/ cancel any communication made to the candidates.
    • The Institute has a right to decide the mode of screening and testing the applicant for short listing and selection.
    • The Institute solely reserves the right not to fill any advertised position without assigning any reason.
    • Only shortlisted applicants will be contacted.
    • The candidates called for the interview will be reimbursed economy air fare. Accommodation and local transportation at Udaipur will be arranged by IIMU.
    • No correspondence whatsoever will be entertained from candidates regarding conduct and result of test/interview and reasons for not being called for interview. Canvassing in any form will be a disqualification.
    • The crucial date for determining the eligibility criteria for all candidates in every respect shall be the prescribed closing date for submission of online application.
    • The Institute strives to have a workforce which reflects gender balance and women candidates are encouraged to apply. Women candidates on a career break and wish to re-start their careers are encouraged to apply.
    • Candidates already in service are required to produce a No Objection Certificate (NOC) & Vigilance Clearance certificate from their current employer at the time of interview.
